How to Set Sales Defaults

The settings under defaults determine how the screens appear, and they regulate what can be done through the screen of operations.

The settings in Sales Defaults can be customized to alter the behavior of the system towards the Users, Customers and Security.

Step-by-step guide

  1. Go to Defaults > Sales > Sales Defaults.

  1. Under Customers/Users in the Behavior 1 tab, you’ll see the following options:

Activate Customer on Sales Screen: Displays Customer window without placing cursor in it.

Land on Customer for Sales Screen: Always land on Customer field at Sales screen.

• Must have Customer on Trade In

Replace Customer Name with Company: Replaces Customer Name with the Company Name at the Sales screen.

Collect Customer Info on Sales: Prompt to collect select customer information during a sale. (E.g. Postal Code)

Customer Info Title: Name the selected request Information.

Prompt for Sales Person: Prompt for the Sales Person’s identification at Sales Screen. Note: possible to proceed with the sale by clicking on [Quit].

Must have a Sales Person: Will not permit advancement to Sales screen by clicking on [Quit]. (Sale Screen will close).

Remember Last User's ID: Will remember last user ID when prompting for Sales Person.

Ask for each Sale: Prompt for Sales Person at completion of sale versus entering Sale screen.

Commission Name: Change name field. (Appear at Sales screen with alternate name).

Change Sales Person: Change name field.  (Appear at Sales screen with alternate name).

Terms: You can set up terms for Accounts Receivables which will be printed on the invoice.

  1. Under Change Users you’ll see the following options:

Require Password to change User: Prompt for password to change user.

Find User By: Select from:

o User ID: Input user by user ID.

o User Name: Input user by user Name.

  1. Under Other, you’ll see the following options:

After Transaction, Confirm Return to Sales: Payment Screen remains active until Sales Screen is confirmed.

Allow Editing of Previous Lines: Enables items entered at the Sales Screen to be edited.

Allow Deleting of Lines: Enables items entered at the Sales Screen to be deleted.

Confirm Transaction Parking: Activates a confirmation prompt when accessing the Park Transaction feature.

Allow Partial Payment on Gift Registry: Permits partial payment on Gift registry. (Treated as a deposit on a Layaway).

Update Inventory Price when Price is Zero: If item has $0.00 price in the Inventory, the software updates the inventory price to the charge applied at the sales screen.

Always Return Customer Deposits when Voiding: The Return Deposit screen will automatically pop-up when voiding a transaction with previous deposits applied (e.g. Layaways, Orders, and Work Orders).

Keep Original Sales Agent for Order/Layaway etc.: Original Sales person will remain accredited with original sale regardless of who receives additional deposits.  Useful for establishments using commission.

Print Original Date for Non Invoice Transactions: Stores the original date (date of creation) of documents. Otherwise, the date will change during editing. (E.g. applying additional deposit(s) or viewing without making changes).

Use Tare Weight on Sale: Activates the ability to use tare weight.

Add Not-Found Products as Miscellaneous Items: If the product is not found in the inventory, it will be added as a miscellaneous item that you can set with a default description.

Default Description: Edit the default description.

Miscellaneous Cost (% of Price): Edit the default cost and price used for miscellaneous transactions.

Return Default months: You can set the default month for returns depending on your business policies.

Show on Revisit [F10]: Choose between.

o All Sales: All staff will be able to see/re-print invoices from other staff members.

o My Own Sales: Limits the access to revisit invoices to personal sales ONLY.

Next Invoice Number: Displays the next PLU to be used.

  1. Under the Behavior 2 tab, you’ll see the following options:

Prompt changing User on loading [Else keep original User]

Turn on Num Lock on Payment (and Price) Screen

Default Previous Payment on X-Reverse: Automatically applies the payment type from the original invoice when reversing.

Prompt Delivery [Pay Later] [Y/N] for Sales: System will prompt you to fill out a Delivery coupon every time you proceed with a sale.

• Automatic Decimal Data Entry for Sales: System will perform like a regular cash drawer, e.g. to accept $25.00 you will have to type in 25.00 or 2500 instead of 25.

Load Invoices based on Station for Reprint: [Revisit [F10]] screen will show only documents processed on the local station.

Warn on Sales if Quantity is lower or Equal Zero: The software will warn you with a pop-up screen when selling an item with a zero or negative quantity On Hand.

Create Back Order for Orders: The software will automatically create a Special Order for a customer if you are selling an item below zero On Hand.

Create Back Order for Invoices & Other Documents

Must Have Serial Number: Will not permit the sale of Serialized items without a serial number.

Automatic Sort by Price when Tender an Invoice

Beep After Scanning a Product in Sales Screen: Will sound a beep after a successful scan.

Book Rental on Order

Maximum Sale QTY: Sets a maximum quantity per item permitted for sale. The system will prompt you with a warning if quantity is over the limit.

Show “Vendor PLU” instead of “PLU”

  1. Under Touch Screen Related:

Open Touch Pad for Quantity Entry

• Open Touch Pad for Item Number

• Automatically Activate Picture Gallery

• Activate Keypad for Customers in Sales Screen

  1. Under Prompt for Membership Renewal:

After Expiry: Reminder prompt at time of membership expiry.

For Non-members: Membership application prompt for non-members.

Months Before Expiry: Prompt for membership at selected time before expiry.

  1. Under Park, you’ll find the following options:

Load Parked Transactions Based on All, Station, User: On recall of parking transactions, each station will see their own parked transaction only.

Park Transaction Name: Rename Parked Transactions to something more to your liking (e.g. Parked Invoices)

Show park transaction number after park?: Pop-up window will prompt you with a parked invoice number when parking.

Print receipt/Invoice for parked transaction: A receipt will automatically be printed, so whenever the customer comes back, the barcode can be scanned to bring up the sale.

Print Items for Parked Transactions? (Tape Only)

• Auto Load when Only One Parked Transaction

• Auto Delete Parked Transactions at End of Day

• Ask for Username on Parked Transaction

• Suggest to Park Transaction, on Exit from Sales Screen

• Park Empty Invoice (With Customer only) when using F12

• Display Park(ed) Time on Invoice

• Activate Sending Message to Users on New Park

Show Park Transaction on Calling Customer on Sales Screen

• Use Quick Park [F12] in the Sales Comment

• Activate Park Shortcut (ctrl + [F12])

• Prompt for Changing User on loading [Else keep original User]

Display Date on Sales Screen

  1. Under Special Order, see the following options for changing settings for special orders:

Link Special Order to Supplier?: You can link the customer's special order directly to supplier.

Auto Purchase Order in Special Order?: Automatically shows the purchase list in the special Order screen.

Send Customer Comments to the Supplier?: Ability to send customer comments directly to the supplier.

Send Customer Name to the Supplier?: Enables you to send the customer’s name to the supplier.

Special Order Name: Area to enter a title for the Special Order.
